Alera Group is looking for an established, proactive, and detail-oriented Executive Assistant to support several  senior level staff members. The position is based in the Deerfield, IL office.

 

Supervisory Responsibilities:

  • May direct the work of clerical employees in lower job classifications.
  • May assist in training newly hired clerks and administrative staff.

Responsibilities

  • Provides executive support including, but not limited to, the following:
    • Manages calendars and high volume meeting requests
    • Arrange domestic travel plans and create detailed itineraries
    • Submit expense reports on behalf of the executive in a timely manner
  • Help produce presentations by compiling information, formatting, editing, and transmitting text, data, and graphics
  • Responding and following up on calls, emails and other inquiries on managers' behalf
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed
  • Continually identifies opportunities to streamline functional activities while enabling the Executive to focus on the strategic and business initiatives rather than function logistics
  • Able to troubleshoot technical difficulties in the office and during meetings to guarantee optimal working performance
  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items
  • Responds to and resolves administrative inquiries and questions
  • Performs other related duties as assigned

Qualifications

  • At least five years of Executive Assistant experience preferred
  • High school diploma or equivalent required; Associate’s degree preferred
  • Highly proficient in Microsoft Office Suite required
  • Strong analytical skills and demonstrated ability to improve process and efficiency
  • Strong organizational, problem solving, communication and interpersonal skills
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
